Filing a Form VIF and the appropriate checklist to improve matching
Go to the dashboard CORE (cro.ie)
Putting First and Last Names forward for Registration
Things to check before you complete the below
The names you enter and the order of the name parts will impact on the matching where an existing directorship has already started.
For example;
Existing Director Details* | Verified Identity (Form VIF) | |
First Name | Joe | Joe E. |
Last Name | Public | Public |
*created pre 11 June 2023
Presently, the above is a mis-match. We will update this webpage if closer matching is introduced for Alternate IDs. It is exact matching and letters and punctuation should be considered like numbers.
The Form VIF could be completed like the below but if you review how the existing director details are on record you can adjust the CORE portal entry accordingly. We will approve the close match manually.
Adjust the name on CORE so it is exactly like the existing director details on the CRO record. We will manually approve the close match.
Examples of close matches we will manually approve
Existing Director Details | Verified Identity (VIF) | CORE Portal Entry (Adjusted) | Results |
William Hennessy | William James Hennessy | William Hennessy | Approved as close match and Registered |
Sharon Dempsey | Sharon Mary Dempsey | Sharon Dempsey | Approved as close match and Registered |
Sam Nolan | Samuel James Nolan | Sam Nolan | Approved as close match and Registered |
Examples of close matches but extra data is in existing director details and not in Form VIF
Existing Director Details | Verified Identity (VIF) | CORE Portal Entry (Adjusted) | Results |
Martin Jim O’Reilly | Martin O’Reilly | Martin Jim O’Reilly | If ‘Jim’ is not on Form VIF, we may return for amendment |
Below are some examples of close matches that were approved but also where the adjustment was not taken into account.The filing of an A1, B1, B10, presently, will be returned for a failure to match if the below applies;
Existing Director Details | Verified Identity (VIF) | CORE Portal Entry (Adjusted) | Results |
Will Hennessy | William James Hennessy | William Hennessy | Approved as close match and Registered |
Sharon M. Dempsey | Sharon Mary Dempsey | Sharon Dempsey | Approved as close match and Registered |
Sammy Nolan | Samuel James Nolan | Sam Nolan | Approved as close match and Registered |
The CRO Staff may not have the time to do advanced searches on names currently on the record that may contain some of the words. Please review the data thoroughly and treat a name like a date of birth.
Other things to consider with names
The order of the parts will impact the matching if not thoroughly reviewed.
Full Name of Director Details | CORE Portal Entry (First Name) | CORE Portal Entry (Last Name) | Existing Directorship on Record of Register (First Name) | Existing Directorship on Record of Register (Last Name) |
Oriel Javier Mulhall | Oriel | Javier Mulhall | Oriel Javier | Mulhall |
Jose Ignacio Del Corral Vinciguerra
|
Jose Ignacio | Del Corral Vinciguerra
|
Jose Ignacio Del | Corral Vinciguerra |
Michael Tage Skov Pisak | Michael | Tage Skov Pisak | Michael Tage | Skov Pisak |
The above 3 examples will create mis-matches if the parts of the long name are in the incorrect field box i.e. First/Last.
The presenter must thoroughly review how the name is presented already in the existing directorship. It may also be the case that the names were presented incorrectly in the Form VIF/CORE entries.
Date of Birth
We check to see that the date of birth matches the information provided on the Form VIF.
We do not do full searches on existing directors with a similar name to see if they have the same date of birth.
The director/presenter should make sure the date of birth on the CRO record, if a directorship exists, is the same.
